Code of Conduct

ICA Barcelona 2025

The Organizing Committee of the International Council on Archives Congress – ICA Barcelona 2025 is committed to providing a safe, inclusive, and welcoming environment for all participants.

This Code of Conduct sets out our expectations for participant behavior during the Congress and all related events, including social activities. All individuals taking part in the Congress — whether as speakers, attendees, sponsors, or volunteers — are required to comply with this Code of Conduct.

Expected Behavior 

  • Respect and Courtesy: Treat all participants — attendees, speakers, sponsors, and volunteers — with respect and courtesy. Engage in professional and respectful dialogue, showing consideration for different viewpoints and experiences. 
  • Inclusion: Foster an environment in which everyone feels welcome, respected, and valued, regardless of their personal characteristics or circumstances. 
  • Professional Conduct: Maintain a high level of professionalism at all times. This includes presentations, discussions, and interactions both in person and online. 
  • Intellectual Property: Respect the intellectual property rights of others. Do not use or distribute materials without the permission of the rights holder. 
  • Harassment-Free Environment: Refrain from any form of harassment, including but not limited to: inappropriate verbal comments, intimidation, persistent unwanted attention, unwelcome photography or recording, inappropriate physical contact, or unsolicited sexual advances. 
  • Alcohol Consumption: If alcohol is served at social events, consume it responsibly. Excessive intoxication or disruptive behavior resulting from alcohol consumption will not be tolerated. 
  • Venue Rules: Follow all rules and regulations established by the Congress venue and any other spaces hosting related events. 
  • Responsible Reporting: Immediately report any violation of this Code of Conduct to a member of the Congress organizing team. All reports will be handled discreetly and confidentially. 

 

Unacceptable Behavior 

  • Harassment and Discrimination: Any form of harassment, discrimination, or exclusionary behavior that undermines the dignity or respect of others — regardless of personal characteristics or circumstances — is prohibited. 
  • Violence and Threats: Violent or threatening behavior, including physical or verbal abuse, intimidation, or coercion, is strictly prohibited. 
  • Disruptions: Interruptions of presentations, sessions, or any other part of the event are not allowed. This includes the inappropriate use of recording devices, loud or distracting behavior, or any actions that interfere with the event. 
  • Unprofessional Conduct: Inappropriate or unprofessional behavior — including unsuitable attire, language, or attitudes — will not be tolerated in this professional environment. 
  • Violation of Venue Rules: Any behavior that breaches the venue’s rules or regulations, or those of spaces hosting social events, is prohibited. 

 

Consequences of Unacceptable Behavior 

  • Immediate Action: The Organizing Committee of the International Council on Archives Congress – ICA Barcelona 2025 reserves the right to take immediate action in response to unacceptable behavior, including issuing warnings or expelling offenders from the event without refund. 
  • Notification to Authorities: In cases of serious or repeated violations of this Code of Conduct, the matter may be referred to local authorities. 
  • Future Participation: Individuals found to have violated this Code of Conduct may be barred from future ICA events. 

 

Reporting Violations 

If you witness or experience behavior that violates this Code of Conduct, please report it immediately to a member of the ICA Barcelona 2025 Organizing Committee or Congress staff.

Commitment to Continuous Improvement 

The Organizing Committee of the International Council on Archives Congress – ICA Barcelona 2025 is committed to the ongoing improvement of this Code of Conduct and of the overall event experience. 

Feedback from participants is welcome and will be considered for future events. 

By attending the International Council on Archives Congress – ICA Barcelona 2025, you agree to abide by this Code of Conduct.
